1. Introduction

CRU Technologies LLC, operating as RevHostHQ ("RevHostHQ," "we," "us," or "our"), is a business management platform designed for vehicle rental hosts. We operate a suite of integrated tools including a web application, browser extension, mobile application, and AI-powered messaging assistants (collectively, the "Services"). Our platform enables hosts to manage their vehicle fleets, track reservations and financial performance, conduct market research, and interact with an AI assistant via supported messaging platforms.

This Privacy Policy describes how RevHostHQ collects, uses, stores, shares, and protects information about you when you use our Services. It also explains your rights and choices regarding your personal information. This Policy applies to all users of RevHostHQ, including visitors to our public website and marketing tools such as the ROI Calculator.

RevHostHQ is operated by CRU Technologies LLC, headquartered in Austin, Texas. All data practices described herein are governed by the laws of the State of Texas and applicable United States federal law.

2. Information We Collect

We collect information in multiple ways and across multiple surfaces of our platform. The categories of information we collect are described below.

2.1 Account and Profile Information

When you create an account with RevHostHQ, we collect:

  • Full name
  • Email address
  • Password (stored as a cryptographic hash — never in plain text)
  • Phone number (required for AI assistant features via supported messaging platforms)
  • Account role (User, Admin, Superadmin, Vehicle Owner, or Co-host)
  • Profile preferences and notification settings

2.2 Fleet and Vehicle Data

To provide our fleet management services, we collect and store information about the vehicles you manage, including:

  • Vehicle make, model, year, color, and trim
  • License plate number and vehicle identification number (VIN)
  • Vehicle photographs and listing images
  • Listing identifiers and URLs from your connected data sources
  • Vehicle availability, pricing configuration, and calendar data
  • Maintenance records and service notes you choose to log
  • Insurance and registration information you voluntarily provide

2.3 Reservation and Trip Data

Our platform manages reservation data to provide booking management, calendar synchronization, and financial reporting. This includes:

  • Reservation identifiers, dates, and durations
  • Guest names and basic trip details (as made available by your connected data sources)
  • Trip status (upcoming, active, completed, cancelled)
  • Special requests, notes, and messaging summaries
  • Pickup and drop-off location data associated with reservations

2.4 Financial and Revenue Data

RevHostHQ's core value is financial visibility for vehicle rental hosts. To deliver financial reports and revenue tracking, we collect:

  • Gross revenue per reservation and per vehicle
  • Platform fees, host fees, and net payout amounts
  • Expense records you log manually or via our AI assistant (category, amount, date, description, receipt images)
  • Co-host revenue allocation percentages and split configurations
  • Invoice data generated by the platform on your behalf
  • Monthly and annual profit-and-loss data at the vehicle and fleet level
  • Tax year designations and expense categorization for tax-readiness reporting

2.5 Data from Your Connected Sources (Collected via Browser Extension)

Our browser extension connects RevHostHQ to the vehicle rental platforms you use. When you authorize the extension and initiate a sync, it reads data from your connected platform's web interface on your behalf and transmits that data to RevHostHQ servers. The extension does not store your credentials and cannot access your data sources without your active browser session. Data collected via this mechanism includes:

  • Your host profile information (name, host tier, status) as displayed by your connected platform
  • Vehicle listings and associated listing metadata
  • Reservation history and trip records visible in your host dashboard
  • Earnings summaries and payout information as displayed by your connected platform
  • Market research data gathered during in-browser research sessions you initiate

This data is collected procedurally and only when you actively use the browser extension. No background collection occurs without your direct interaction. RevHostHQ is not responsible for, and does not control, the data provided by or the terms of service of any third-party vehicle rental platform you choose to connect.

2.6 AI Assistant Communications

RevHostHQ operates AI-powered messaging assistants accessible via supported messaging platforms (including but not limited to WhatsApp, Telegram, SMS, and other platforms we may integrate from time to time). When you interact with the AI assistant, we collect:

  • Message content you send, including text, voice messages, and photographs
  • Expense descriptions, amounts, and receipt images submitted via messaging
  • Voice messages (transcribed to text using speech-to-text technology prior to storage)
  • Conversation history necessary to provide context-aware responses
  • Your messaging platform identifier (such as a phone number or platform-specific user ID) used to associate messages with your RevHostHQ account

2.7 Market Intelligence and Research Data

Our market research features allow you to analyze the vehicle rental marketplace in your area. When you use these features, we collect:

  • Search parameters you specify (location, vehicle type, date ranges)
  • Market data returned by research sessions, including listing information gathered from publicly accessible sources
  • Saved market research sessions and analysis results
  • Vehicle analysis reports you generate using our ROI and market intelligence tools

2.8 ROI Calculator Data

Our free ROI Calculator tool, accessible without an account, may collect:

  • Vehicle information entered into the calculator (make, model, year)
  • Location information (city or ZIP code)
  • Email address, if voluntarily provided to receive calculator results or to create an account
  • Anonymized usage data (calculator inputs and outputs) used to improve our market estimates

2.9 Payment and Billing Information

When you subscribe to a paid plan, payment information is collected and processed by our third-party payment processor. RevHostHQ does not store full credit card numbers, bank account details, or other sensitive payment credentials on our servers. We receive and store:

  • Subscription plan and billing tier
  • Payment status, transaction identifiers, and billing history
  • Billing address associated with the payment method
  • Credit balance and credit transaction history

2.10 Usage and Technical Data

We automatically collect certain technical information when you use our Services, including:

  • IP address and approximate geographic location
  • Browser type, version, and operating system
  • Device type and screen resolution
  • Pages visited, features used, and time spent on each
  • Referring URLs and exit pages
  • Error logs and crash reports
  • Session duration and interaction timestamps

3. How We Collect Information

RevHostHQ collects information through the following mechanisms:

  • Direct Input: Information you provide directly when creating an account, configuring your fleet, logging expenses, or contacting us.
  • Browser Extension (On-Request Sync): Data pulled from your connected vehicle rental platforms is collected procedurally — that is, only when you actively initiate a sync action within the extension. No automated or background collection occurs without your explicit action.
  • AI Assistant Channels: Messages you send to our AI assistant via supported messaging platforms are received by our servers and processed to fulfill your request.
  • Cookies and Similar Technologies: Our web application uses session cookies for authentication and functional cookies to remember your preferences. We do not currently use cross-site tracking cookies or third-party advertising cookies.
  • Third-Party Integrations: When you connect third-party services, we receive data as authorized by your configuration.

4. How We Use Your Information

4.1 Service Delivery

The primary purpose of data collection is to provide you with the services you have requested. This includes operating your fleet dashboard, generating financial reports, processing expense records, synchronizing reservation data, managing co-host relationships, producing invoices, and operating the AI assistant.

4.2 Report Generation — Procedural and On-Request Basis

Financial reports, market intelligence analyses, revenue summaries, and ROI calculations are generated procedurally in direct response to your requests. We do not generate or distribute your financial reports without your action. Reports are built by querying your stored data in real time when you access the relevant feature. You control when reports are generated, what they contain, and who receives them.

4.3 AI-Powered Features

We use your data to power AI features, including our messaging assistant. This involves transmitting relevant context (such as your vehicle list, recent reservations, or expense history) to our AI processing infrastructure to generate accurate and personalized responses. AI-generated content is for informational and operational assistance only and does not constitute financial, tax, legal, or investment advice.

4.4 Platform Improvement

We use anonymized and aggregated data to understand how our platform is used, identify bugs, prioritize features, and improve the user experience. This data is never attributable to any individual user in its aggregated form.

4.5 Communications

We use your email address and, where applicable, your messaging platform identifier to:

  • Send transactional messages (account confirmation, password reset, invoice delivery)
  • Deliver service notifications (sync confirmations, error alerts, subscription changes)
  • Send onboarding and educational content during your initial use of the platform
  • Send product updates, new feature announcements, and platform news (you may opt out)
  • Respond to your support requests and inquiries

4.6 Security and Fraud Prevention

We use technical data to detect unauthorized access, prevent abuse, enforce our Terms of Service, and protect the security of your account and our platform.

4.7 Legal Compliance

We process and retain certain data as required by applicable law, including for tax, accounting, and regulatory compliance purposes.

5. How We Share Your Information

RevHostHQ does not sell your personal information to third parties. We do not share your personal data for third-party advertising purposes. We share information only in the limited circumstances described below.

5.1 Service Providers

We engage trusted third-party vendors who process data on our behalf to operate the platform. These vendors are contractually bound to use your data only as directed by RevHostHQ and to maintain appropriate security standards.

5.2 Co-host and Vehicle Owner Sharing

If you operate a co-host arrangement within RevHostHQ, certain data — specifically revenue allocation reports and invoices — may be visible to or generated for your co-hosts or vehicle owners as configured by you. You control these sharing relationships and can modify them at any time within your account settings.

5.3 Legal Requirements

We may disclose your information if we believe in good faith that such disclosure is necessary to: (a) comply with applicable law, regulation, legal process, or governmental request; (b) protect the rights, property, or safety of RevHostHQ, our users, or the public; (c) enforce our Terms of Service; or (d) detect, prevent, or address fraud or security issues.

5.4 Business Transfers

In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you via email or prominent notice on our website if such a transfer occurs and will describe your choices at that time.

6. Data Storage and Security

6.1 Storage Location

Your data is stored on servers located in the United States. By using our Services, you consent to the transfer and processing of your information in the United States, which may have data protection laws different from those in your home country.

6.2 Security Measures

We implement industry-standard technical and organizational measures to protect your information, including:

  • Encryption of data in transit using TLS/SSL
  • Hashed storage of passwords using industry-standard algorithms
  • JSON Web Token (JWT) authentication with defined expiration windows
  • Role-based access controls (RBAC) enforced at the API layer
  • Server-side input validation and parameterized queries to prevent injection attacks
  • Regular security reviews and dependency auditing
  • Restricted access to production systems on a need-to-know basis

No method of electronic transmission or storage is 100% secure. While we strive to protect your personal information, we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials.

6.3 Data Retention

We retain your personal information for as long as your account is active and for a reasonable period thereafter. Specific retention guidelines:

  • Active account data: retained for the life of your account
  • Financial and invoice records: retained for a minimum of seven (7) years for tax and accounting compliance
  • AI assistant message history: retained for twelve (12) months rolling by default; you may request deletion at any time
  • Market research session data: retained for twenty-four (24) months
  • Deleted account data: purged within ninety (90) days of account deletion, except where longer retention is required by law

7. Your Rights and Choices

7.1 Access and Portability

You may access a summary of the personal information we hold about you at any time through your account settings. You may request a portable export of your data by contacting us at privacy@revhosthq.com.

7.2 Correction

You may update or correct inaccurate account information at any time through your account settings. If you need assistance correcting data that cannot be changed within the platform, contact us at privacy@revhosthq.com.

7.3 Deletion

You may request deletion of your account and associated personal data at any time by contacting us at privacy@revhosthq.com or using the account deletion option in your settings. Note that we may be required to retain certain information for legal, tax, or compliance purposes even after account deletion, as described in Section 6.3.

7.4 Opt-Out of Marketing Communications

You may opt out of promotional and marketing emails at any time by clicking the "Unsubscribe" link in any marketing email, or by updating your communication preferences in your account settings. Transactional and service-related communications are not subject to opt-out.

7.5 Cookie Management

You may configure your browser to refuse cookies or to alert you when cookies are being sent. Note that disabling cookies may affect the functionality of certain features of our web application, including authentication.

8. California Privacy Rights (CCPA)

If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with specific rights regarding your personal information. California residents have the right to:

  • Know: Request disclosure of the categories and specific pieces of personal information we have collected about you, the sources, and the business purposes.
  • Delete: Request deletion of personal information we have collected, subject to certain exceptions.
  • Correct: Request correction of inaccurate personal information.
  • Opt-Out of Sale or Sharing: RevHostHQ does not sell or share your personal information for cross-context behavioral advertising. No action is needed to exercise this right.
  • Non-Discrimination: We will not discriminate against you for exercising any CCPA rights.

To exercise your CCPA rights, contact us at privacy@revhosthq.com with the subject line "CCPA Privacy Request." We will respond within 45 days of receiving a verifiable consumer request.

9. Children's Privacy

RevHostHQ Services are intended exclusively for adults who operate vehicle rental businesses. Our Services are not directed to children under the age of 18, and we do not knowingly collect personal information from children under 18. If you believe we may have collected information from a child under 18, please contact us immediately at privacy@revhosthq.com.

10. Third-Party Services and Links

Our Services may contain links to or integrations with third-party websites and services. This Privacy Policy applies only to RevHostHQ and our own data practices. We are not responsible for the privacy practices of any third-party service, platform, or data source you choose to connect to the Services. We encourage you to review the privacy policies of any third-party services you use in connection with our platform.

11. Governing Law

This Privacy Policy and any disputes arising under or related to it shall be governed by and construed in accordance with the laws of the State of Texas, without regard to its conflict of law provisions. Any legal proceedings arising from this Policy shall be brought exclusively in the state or federal courts located in Travis County, Texas.

12. Changes to This Privacy Policy

We reserve the right to update or modify this Privacy Policy at any time. When we make material changes, we will update the "Last Updated" date at the top of this Policy and, where required, provide additional notice via email or a prominent platform notice. Your continued use of our Services after the effective date of any updated Privacy Policy constitutes your acceptance of the revised Policy.
